Identifying the problem
Recognizing Problems
Prior to implementing this HubSpot forms and automation project, Edenred was already using HubSpot as its primary management tool, but the sheer volume of data imported into the business and the lack of clear categorization often resulted in inefficiencies in the marketing and sales buy-in process. Many user profiles were categorized in the same way, making it impossible for the business to effectively analyze the real needs of customers, which in turn prolonged the follow-up process.
In the past, Edenred had used form tools, but most of them were static, unable to flexibly adjust the follow-up process according to the user's different options, and unable to help the marketing team automate follow-up emails and tracking, so the team still needed to manually organize the data, manually categorize it, and manually send letters, which was costly and prone to errors.
In addition, due to the increased demand for cross-departmental collaboration within the organization, marketing and business teams expect an automated, seamless process that allows form responses to directly influence CRM data structure and establish the basis for subsequent business contact.
They also faced challenges in data transfer, including the need to connect forms to their own database and write them back to HubSpot, a process that had to be stable, real-time, and without disrupting the user experience.
As a result, Edenred needed a total solution that was truly automated, interactive, connected to its internal database, and allowed the business to clearly categorize customer needs.

We helped Edenred build a multi-step, logical smart form that instantly presents content or questions according to the user's options, and fully integrates with the official website through Netlify for a consistent, smooth, and better overall fill-in process.
CRM automatic classification and data synchronization
We use APIs to transfer form content into Edenred's database, then synchronize it back to HubSpot, and automatically create contact attributes and apply the correct classification, completely replacing the original process of manual collation, so that the business can directly use the clean and classified data, greatly improving operational efficiency.
Automated Email Processes and Notification Systems

The whole system not only improves the problem of unclear data categorization, which requires a lot of manual organization in the past, but also enables the team to understand the real needs of users through the form in the first time.
More importantly, through the customized Email automation process, the collaboration between marketing and business has become much closer, and the data is no longer just a static record, but an important source of clues to drive the entire customer journey.
In this project, Hububble helped Edenred connect the dots between forms, databases, HubSpot CRM, and email automation, so that every time a user fills out a form, it's instantly transformed into valuable business information.
Edenred's team is now able to conduct follow-up marketing with greater speed and accuracy, and will continue to expand into more service scenarios in the future.
Impact and Future Prospects
Edenred has continued to use the HubSpot Marketing Hub beyond the project, and is gradually expanding the scope of application of the form automation process. In the future, the team will be able to build on the existing foundation and add more interactive elements, more data categorization, and more automation to complete the marketing and business process.
